Program Operations & Reporting Lead (Contract)

Overview

The Becoming Institute is seeking a Program Operations & Reporting Lead to support our Psychological Health and Safety Certificate Program. You will run the day-to-day execution engine—cohort scheduling, session logistics, attendance and completion tracking, artifact workflow and review-cycle service levels, make-up coordination, and production of monthly operations packs and quarterly dashboards—maintaining record integrity and workflow discipline so delivery remains stable, auditable, and performance-visible throughout the year.

Skills Required
  • 5+ years in program operations, learning operations, PMO delivery support, or workforce training coordination in high-volume environments
  • Strong data discipline: building and maintaining trackers, reconciliation rules, and reliable reporting outputs
  • Ability to manage multi-step workflows with service levels (assignment → review → resubmission → closure) and escalate early when throughput is at risk
  • Experience managing cohort logistics: rosters, substitutions/deferrals (where permitted), communications, calendar invites, and schedule stability
  • Ability to produce executive-ready summaries and decision-grade dashboards with clean assumptions and traceable source data
  • Comfortable working across multiple stakeholders (facilitators, program manager, QA/evidence, learning tech, accessibility, and external client contacts)
  • Strong written communication and attention to detail—records must be complete, consistent, and retrievable
Roles & Responsibilities
  • Execute the cohort delivery calendar: starts, rosters, substitutions/deferrals (where permitted), and schedule communications
  • Manage session logistics: links, calendars, reminders, attendance capture, and session record completeness
  • Operate the completion workflow: track microlearning completion status, module participation, artifact submission status, and completion verification
  • Run the review-cycle workflow: assign artifacts for review, monitor service levels, manage resubmission cycles, and ensure closure within completion windows
  • Coordinate make-up pathway operations: missed-session recovery scheduling, completion closure tracking, and record updates
  • Maintain the program tracking system: session-level records (date/time/duration/facilitator), attendance, completion status, and artifact status by cohort
  • Produce reporting outputs on schedule: monthly operations packs and quarterly dashboards/data extracts, using standardized templates
  • Support invoice verification through clean session records and completion evidence, ensuring disputes can be resolved quickly with traceable documentation
  • Maintain an operational issue log, route items to the correct owners, and track closure evidence and trend patterns
Additional Requirements
  • Must be legally entitled to work in Canada
  • Comfortable working in a remote/virtual delivery environment, with occasional in-person meetings as required
  • Reliable internet and ability to work effectively with shared drives and online collaboration tools
  • Strong confidentiality and professionalism when handling program materials, participant records, and reporting outputs
  • Able to work occasional evenings/weekends during delivery peaks, fixed deadlines, or reporting cycles
  • Willing to complete reference checks (if requested)

Education
  • Post-secondary diploma or degree in Business, Operations, Project/Program Management, Education/Adult Learning, Public Administration, HR, or a related field (or an equivalent combination of education and experience).
  • Training/certification in project or program management (e.g., CAPM/PMP/PRINCE2) is an asset.
  • Advanced proficiency in Excel/Google Sheets is required; familiarity with Power BI/Tableau is an asset.

Compensation
  • Contract rate: $70–$110/hour OR salary equivalent: $6,500–$9,000/month (based on experience and scope)
